Auto-reload

Let Evergreen add funds for you when the balance runs low, with a monthly cap and a daily limit so it can't run away.

Auto-reload charges the card on file when your balance runs low, so sessions don’t stop. It needs a card and a receipts email, and where sales tax applies it needs a complete billing address too.

Turn it on

  1. Open Auto-reload

On Workspace settings › Billing, choose Auto-reload, or use the switch in the Auto-reload card.

  2. Set the trigger and the amount

Trigger is the balance, in dollars, that starts a top-up. Evergreen adds funds when the balance is at or below it. Amount is how much it adds. The amount has to fall within the range you can add by hand.

  3. Set the limits

Open Limits to set the Monthly cap, which defaults to four times the amount, and Top-ups a day, which is how many times a day Evergreen may add the amount, from 1 to 10. It defaults to 1.

  4. Choose Turn on

The dialog restates the rule in a sentence, such as “When the balance falls to $20, add $200, up to $800 a month.”

Evergreen checks the balance every time usage is booked, rather than on a timer. A turned-off auto-reload keeps its figures, so you can turn it back on later.

The limits

The Monthly cap has to be at least the amount. An automatic top-up that would pass it is skipped and nothing is charged, and the Automatic top-up cap reached email tells you when top-ups start again. The daily limit counts top-ups per Pacific billing day. Raising the daily limit doesn’t get around the monthly cap.

While auto-reload will cover the balance, Evergreen holds back the Low balance email.

When a top-up fails

When the card is refused, Evergreen sends an Automatic top-up failed email. After three refusals in a row, Evergreen pauses auto-reload and the email says so. Evergreen doesn’t retry the same card on the same billing day, so the three are usually a day or more apart. A different card is tried straight away.

A top-up can also need your bank’s approval. Then you get Top-up needs authentication, and it counts as a refusal. Add funds by hand on Billing, where your bank can ask you to confirm.

Auto-reload pauses when:

  • The card was refused three times in a row.
  • The card was removed in Stripe. Add a card, or turn auto-reload off.
  • The billing address can’t be found for sales tax. Until it’s fixed, automatic top-ups are skipped.
  • The amount is below the minimum top-up, because the minimum went up after you saved it. Save a new amount to turn it back on.

The Automatic top-up failed email tells you about refusals, and Card removed tells you about the card. A missing or unusable address, or an amount below the minimum, pauses auto-reload without its own email, and the Low balance email can then arrive, because auto-reload no longer covers the balance.

A paused auto-reload still shows as on. Billing says Paused since and the date, and why.

Start it again

Fix the cause, such as a new card or a complete address, then choose Resume. That clears the failure count. If your balance runs out in the meantime, see When the balance runs out.

Tip

A trigger of $0 only reloads once the balance is used up. Set it higher if you’d rather the balance never gets that low.
